Admin Assistant

We are looking for an Admin Assistant to provide a strong support system for the European and US team.  We’re looking for a process and detail orientated  ‘do-er’, so you’ll be proactive and have exceptional organisational skills.

What’s the job?

This will certainly be a varied role with no one day the same. 

Reporting into the Office Manager of Europe and AMER, you’ll be part of a team that ensures the business runs as smoothly as it possibly can. In addition to executing on and managing the day to day needs of the business, you’ll also be responsible for maintaining our systems and procedures.
As an integral member of the team, you will look for ways to continuously improve the way we work, driving high standards and best practice. Working with a variety of tools and with large amounts of data, you’ll run reports and manage multiple spreadsheets. 

Lastly - you will work with the team to help promote our positive company culture and staff engagement.

What experience and skills do you need?

  • At least 1-year work experience in administration
  • Precision and pride in everything you do with a keen eye for detail
  • Strong communication, collaboration and organisational skills
  • Experienced with Google suite and tools (Google Drive, docs, sheets, and slides etc.) or Microsoft Office
  • The ability to command a room and corral a team
  • Demonstrated examples of continually taking the initiative and driving results 
  • Experience with booking coordinating and arranging logistics within a busy office environment
  • Financially aware - you should be competent in managing budgets, knowing when to spend and when to be prudent
  • Comfortable working independently and autonomously with remote teams 
  • Skilled in translating data into actionable information 

It’s a bonus if you also have:

  • Public speaking experience
  • A background in finance
  • Experience working in an international environment

What will you do?

  • Answer the phones and welcome new starters, clients, and guests
  • Maintain office appearance to a high/professional standard, including liaising with suppliers and contractors
  • Maintain, update and document efficient administrative processes
  • Solicit recommendations and feedback from employees about facilities-related matters
  • Work closely with the Operations and Finance team to manage and track internal budgets, requisitions, purchase orders and vendor invoices
  • Provide HR and Ops admin to support the employee experience
  • Assist with resourcing and operational activities (leave calendar administration, HRIS tool management, etc.)
  • Support staff members across multiple regions, ensuring best practices are being followed
  • Help to coordinate and manage a variety of events, logistics and initiatives
  • Assist the Talent Acquisition Manager with coordinating interviews and general recruitment administration 
  • Perform administration or other duties as required by staff
